Move-in documentation is deposit insurance you create yourself: timestamped photos and a room-by-room checklist before boxes land. It is not the full cash plan for deposits and fees (First-apartment move-in costs). It also differs from a belongings inventory for insurance (Home inventory for insurance).
30-minute key-day method
- Before unloading: walk every room with phone video (slow pan) plus stills.
- Same angles later: you will re-shoot at move-out; consistency wins disputes (Security deposit dispute).
- Checklist PDF: mark stains, chips, appliance serials, meter readings.
- Send once: email the PDF + photo link to yourself and the landlord/manager the same day.
- Store offline: cloud album named

What to capture (minimum set)

Also film the empty truck or hallway so a reviewer sees you documented before furniture hid baseboards. If movers are present, finish the walk first (Moving quotes vs DIY).
Checklist template (copy)
- Unit address, unit #, date, time, who was present
- Lease start date and landlord email
- For each room: OK / issue + one-line description
- Appliance serials
- Keys/fobs received (count)
- Signature line if the landlord offers a joint walkthrough form
If the lease requires a landlord form within 48–72 hours, meet that deadline even if your own album is richer (Read a lease).
Proof habits that hold up
- Keep original timestamps; avoid heavy filters.
- Use a newspaper or phone-clock screenshot in the first frame if you want belt-and-suspenders dating.
- Do not rely on the landlord’s “we already inspected” alone.
- At move-out, repeat the same path, then compare albums before you argue deductions.
Renters insurance covers many sudden losses to your stuff, not “they kept my deposit” (Renters insurance basics). Documentation is what makes wear-and-tear arguments concrete.
