How to track mileage and expenses for taxes

Build a contemporaneous mileage log, receipt system, and monthly reconcile so Schedule C deductions have numbers, not December guesses.

The IRS expects ordinary and necessary business expenses with records you can explain. A December reconstruction of “about 4,000 miles” is weak. Build a light system: mileage log, receipt capture, and a monthly total that feeds Schedule C. Form map: What is a Schedule C and when you need one.

What to log every trip (mileage)

For business driving, record the same day when possible:

Common tools: MileIQ, Everlance, Stride, a Google Sheet, or a paper notebook in the glove box. Pick one and stick with it for the tax year. Commuting from home to a fixed office is usually personal, not business.

Expense categories worth a folder

Keep receipts (PDF, photo, or paper) for costs that support the hustle:

  1. Supplies and materials (packaging, printer ink, trade tools under your capitalization habit).
  2. Advertising (Google Ads, Meta boosts, printed flyers).
  3. Software and subscriptions used for the business (QuickBooks, Canva Pro, domain).
  4. Contract labor you pay (and may need to 1099).
  5. Home office only if you meet the exclusive-use tests (easy to get wrong; read IRS Publication 587 or ask a preparer).
  6. Phone/internet: document the business percentage, not 100% of a family plan by default.

Personal groceries, normal work clothes, and commuting fuel generally do not become Schedule C lines because you wished they did. Mixed W-2/1099 years: W-2 vs 1099 tax basics.

Monthly 20-minute reconcile

  1. Export bank/card CSV for the hustle account only (Side hustle money basics).
  2. Match each business charge to a receipt photo in a dated folder (2026-03-receipts).
  3. Total mileage for the month; note any gaps.
  4. Drop totals into your sheet or Wave/QuickBooks categories.
  5. Flag personal swipes that hit the hustle card and move them out.

Checklist

  1. Choose one mileage tool; log the same day.
  2. Capture receipts within 48 hours.
  3. Use a hustle-only card when possible.
  4. Reconcile monthly, not in April.
  5. Store CSVs and PDFs for at least 3 years (longer if your preparer advises).
