When should I hire a bookkeeper vs DIY spreadsheets?

Cost and complexity thresholds for hiring a bookkeeper versus keeping a spreadsheet or Wave/QuickBooks DIY for a side hustle or small freelance shop.

Reviewed September 2026.

A Google Sheet or Wave file is enough for many side hustles. A bookkeeper (or bookkeeping service) earns the fee when transaction volume, sales tax, payroll, or inventory makes DIY nights cost more than the invoice. This is a cost/complexity call, not a status upgrade.

Expense logging baseline: How to track mileage and expenses for taxes. Hustle account hygiene: Side hustle money basics.

Rough thresholds (educational)

DIY stack examples: Google Sheets, Excel, Wave, QuickBooks Self-Employed, or Reckon-style apps. Hire examples: local bookkeeper, Bench-style services, or a CPA firm’s bookkeeping tier. Prices move by city and scope; get written quotes.

What DIY must still include

  1. Separate hustle bank feed (Start without mixing personal money pattern).
  2. Monthly reconcile: every deposit and expense categorized.
  3. Receipt folder tied to dates.
  4. Mileage log.
  5. Year-end export your preparer can import.

If those five slip for 90 days, you are already paying in April stress. Schedule C still needs real numbers (What is a Schedule C).

Worked cost comparison

Priya invoices ~$6,000/month, ~120 transactions, and spends 6 hours/month on categorization. She values evenings at $40/hour opportunity cost, which is $240/month. A bookkeeper quotes $350/month for bank rules, monthly P&L, and a clean year-end package. Priya hires, keeps invoice sending herself (How to invoice clients and get paid on time), and uses the freed nights for billable work at $75/hour. Break-even is roughly 5 billable hours/month.

If Priya had 25 transactions and a solid sheet, DIY would win.

When an LLC or tax pro is a separate decision

Entity formation (When should I form an LLC for a side gig) does not replace bookkeeping. A CPA/EA for the return (Filing taxes for beginners) is separate from monthly books. Many people DIY books and hire only for filing until complexity spikes.

Checklist

  1. Count last month’s business transactions and hours spent.
  2. Price 2-3 bookkeepers against your hourly billable rate.
  3. Ask what deliverables you get (P&L, balance sheet, 1099 support).
  4. Keep ownership of bank logins via read-only or accountant access, not password sharing in email.
  5. Revisit after any inventory, employee, or multi-state jump.
